Position Description

Job Description: Equipment Coordinator                                          

Position provides support to customers, sales and service personnel for the Packaging Equipment Support segment of Veritiv with the order processing of packaging equipment, which can be critical to the manufacturing operations of our customers. 

Responsibilities:

  • Carries orders from inception to completion, which can include product returns, credits, invoice exceptions, special orders, and/or any other follow-up with customers and vendors with a high degree of accuracy and attention to detail.
  • Sources products based upon customer needs, within existing base of products and suppliers (only).
  • Negotiates cost on direct and in indirect purchase orders.
  • Receives all vendor invoices for equipment, reviews for accuracy, deducts from balance due and approves for AP to pay.
  • Creates and manages quotes to customer via established policies and procedures with existing suppliers and products.
  • Coordinates equipment startup and installation with service center, implementation coordinators and equipment specialists.
  • Responds to customer, sales representative and local management questions pertaining to orders, product availability, pricing, and delivery and resolves issues. 
  • Locates and expedites orders; follows through on all promised deliveries.
  • Follows established policies, procedures, and work rules.
  • Interacts with personnel in other groups to achieve overall group objectives, including teamwork on special projects.
  • Manages and tracks all backorders using established reports and procedures
  • Processes direct purchase orders associated with direct sales orders.  In conjunction with procurement, add indirect lines to stock purchase orders or create stand-alone indirect purchase orders, expedites outstanding purchase orders, and resolves outstanding supplier invoice exceptions associated with managed purchase orders.
  • Retains an advanced knowledge of products targeted at assigned customer segment.
  • Performs basic business analysis for assigned accounts.
  • Other duties as assigned.

Qualifications:

  • 2+ years related experience (customer service, dispatch, project management)
  • College degree or equivalent related work experience
  • Excellent computer skills, knowledge of VOS (SFD), strongly preferred
  • Advanced customer service  and telephone skills
  • Knowledge of packaging equipment and/or packaging service industry is strongly preferred
  • Knowledgeable about packaging equipment and products, including options for second-sourcing.
  • Ability to multi-task
  • Excellent written and verbal communication skills
  • Maintain a sense of professionalism when working with internal and external customer and in relationships with team members
  • Organized & detail oriented
