Position Description

Job Summary and Scope:

Under general supervision, provide a wide variety of administrative and staff support services as needed. Makes independent decisions within guidelines regarding planning, organizing and scheduling of work.

Job Responsibilities:

  • Prepare confidential correspondence, memoranda, reports, presentations, etc.
  • Screen telephone calls and receive/direct visitors
  • Resolve routine and some complex inquiries and requests
  • Schedule and maintain calendar of appointments, meetings and travel itineraries and coordinate related arrangements
    • Process travel, invoices and other expenses, as needed
    • Maintains business contacts and monitors frequency of key supplier interactions
  • Prepare regular and special reports as directed. Gathers and summarizes narrative and statistical data and documentation from a variety of sources as needed.
  • Performs varied computations on materials assembled. Typically utilizes word processing, spreadsheet, graphics or desktop publishing software.
  • Manage office supplies for, including mail distribution
  • Acts as a liaison between internal stakeholders and customers and suppliers as needed. Manages access to customers and suppliers based on current organizational priorities
  • Assists executive with the preparation and tracking of department budgets and annual standards.
  • Schedules and coordinates meetings and conferences, assuring proper provisions are made for location, equipment, materials, food, etc.
  • Other related duties and responsibilities as required or assigned

Qualifications / Knowledge & Experience: 

  • Excellent knowledge and utilization of Microsoft Office tools
    • High level of proficiency required for Excel, PowerPoint and Word
  • Excellent written and verbal communications
  • Strong decision making ability, customer focus and attention to detail
  • Demonstrated ability to be a team player and support multiple team members effectively and efficiently
  • Ability to be resourceful in accomplishing tasks and juggling multiple priorities
  • Ability to interact comfortably with all levels within the company including senior executives
  • Demonstrate flexibility in taking on new challenges and requirements
  • Strong organization and time management skills
  • Flexible with work hours – there will be times when position will be required to work additional hours to complete taskes that are deadline-sensitive
  • Some travel may be required
  • 1-3 years of experience in supporting senior level managers of a large corporation; experience supporting corporate leaders is strongly preferred
  • Associates degree required; BA/BS degree strongly preferred
  • Experience in creating high level presentations and reporting is a plus
  • Experience initiating and managing complex travel schedules for senior level managers, visitors, etc.
  • Experience maintaining strict confidentiality and dealing with sensitive information is required
