Position Description

Job Title:  PROPOSAL COORDINATOR


Job Summary and Scope: Responsible for the preparation and processing for quotes and sealed bids for the purchase of supplies for RFX (RFQ, RFI, RFP). To qualify all pricing submissions, bids, contracts, customer review, and legal/business terms and conditions to be approved by all applicable Veritiv Management.   

Job Responsibilities:

  • Analyze all specifications, terms, conditions and general provisions of contracts
    • Payment terms and issues
    • Length of contract and renewal options
    • Delivery timeline, requirements and number of locations
    • Price escalation clauses
    • Warehouse or Direct delivery
    • Samples required
    • Compliance issues
  • Obtain and compare competitive information regarding price, quality, quantity and availability
  • In conjunction with Field Sourcing, negotiate with vendors to acquire necessary supplier support and pricing documentation. Ensure compliance on product specifications and delivery requirements
  • In conjunction with Finance, financial analysis completed and to determine profitability (EVA)
  • Review historical data/business history
  • Liase with Sales Team to determine GTM and ensure profitability
  • Perform review to assess terms, conditions and business risks
  • Submit documentation to Legal for approval, if applicable
  • Determine Delegation of Authority needed
  • Maintain all certificates, legal documents and licenses
  • Liase with Field Sourcing for all products to meet the needs of the bid
  • Knowledge of Franchise requirements of market area
  • Execute all bid documents
  • Single point of contact on all bids and tax supported business
  • Maintain open lines of communication with external and internal customers
  • Solves a range of straightforward problems using standard procedures
  • Recommends changes in process and procedures applicable to RFX concerns                                                                                                    
  • Uses product, market and functional knowledge in combination with Veritiv processes, procedures and applications to ensure customer satisfaction
  • Uses available toolset to organize and communicate
  • Performs other related duties and responsibilities as required or assigned           
  • Is able to lead team initiatives

  • Ability to train and mentor other team members
  • Ability to take on special project work

Required Experience/Education:

  • Diploma/Bachelor degree strongly preferred or equivalent work experience
  • Sales or marketing background preferred
  • Industry experience 2-5 years preferred
  • Excellent interpersonal skills
  • Bilingual (English/French)
